Job Title: Shipping Clerk

Department: Shipping

Job Summary:

Responsible for all paperwork for the shipping department; communications with Common Carrier lines for rates, freight bills, pickups and deliveries and lost or damaged shipments. Ensure export documentation and hazardous chemical documentation is completed correctly. Answer shipping office phone line.


Excellent organizational skills, two years of previous shipping / receiving experience preferred. Strong Windows based PC skills. General knowledge of DOT regulations preferred. Flexibility and ability to work under tight deadlines.

Specific Duties:
1. Shipping paperwork
a. Completes, copies, files and distributes Shipping Reports.
b. Completes order sheet with pieces packed and weights.
c. Completes Bills of Lading.
d. Combines Bills of Lading, order sheets, and shipping records for Data Processing. Flag backorders, and writes quantities not shipped.
e. Types shipping labels when needed.
f. Maintains UPS records.
g. Packages material and completes HAZMAT paperwork for applicable shipment.
h. Faxes shipped information to customers when required.
i. Fills out Shipping Manifest daily.
j. Contact customers regarding special shipping instructions or delivery problems when advised by management.
k. Keeps a daily weight record of shipped material.
l. Provides shipping information when requested by front office.
m. Addresses and/or package UPS Next Day and similar items when requested.
n. Provides total weight shipped monthly for incentive plan.

2. Common Carrier/Traffic duties
a. Reviews and rates all freight bills for accounts payable.
b. Traces all lost shipments.
c. Processes all claims for damaged or lost freight.
d. Arranges for containers, complete applicable export paperwork, and make appropriate contacts for overseas shipments.
e. Signs for deliveries. Assists supervisor in contacting departments to pick up their delivers after checking p.o. numbers.
f. Answers shipping line and take messages for plant employees.

3. Following Shop Orders and Blueprints of extrusions
a. Correctly determines the exposed surface of the extrusion.
b. Interpret instructions on work orders for appropriate shipping preparation of materials.
c. Familiar with the extrusion process (how metal is extruded and finished).
d. Proper utilization of gauges and measurement tools to ensure quality.
